Responsibilities

The Position

The Assistant Officer Manager will report to and assist the Office Manager with a variety of day-to-day tasks from 8:30 a.m. to 5:00 p.m. He/she will also participate in the preparation of board mailings and other projects on an as needed basis. With a great attitude and high energy, the ideal candidate should be polished and comfortable interacting with senior management. This position may require some heavy lifting at times and occasional overtime.

 

Job Responsibilities

  • Office
    • Audit expense reports for management team
    • Allocate and process office vendor-related invoices
    • Prepare customs documents international travel
    • Draft and send communications to office
    • Log/stamp and deliver incoming mail and deliveries
    • Prepare and process outgoing packages via Fed-Ex and USPS
    • Process of new employees (key cards, parking allotment, desk set up and ordering welcome gift)
    • Scan and copy projects
  • Ongoing Maintenance
    • Establish and maintain relationships with office vendors
    • Contact vendors when equipment needs to be serviced
    • Maintain printers and copiers
    • Inventory, order supplies and restock pantries and supply room
    • Update & maintain reception process manual
    • Maintain postage machine (cleaning, adding postage, and ordering supplies)
    • Inventory and order supplies for Fed-Ex and USPS
  • Receptionist
    • Answer phones (includes checking voicemail on main switchboard)
    • Meet and greet visitors; reserve hoteling space
    • Maintain daily attendance sheet
  • Event Coordination
    • Coordinate off-site meeting and events
    • Arrange tranportation for off-site meetings and events
    • Order food for meetings and company lunches
    • Set-up and clean-up of conference rooms
    • Conference room scheduling

 

Qualifications

Required Education/Experience 

  • Bachelor’s degree preferred
  • 2-3 years of office/administrative experience
  • Strong knowledge of Microsoft Office Suite
