    The Executive Assistant is responsible, administrating the advertising calendar, coordinating various marketing activities and managing the processing of all marketing-related vendor bills. He/She works closely with head of Marketing and other internal departments to coordinate activities for the promotion of Arch MI products and services.

    1. Coordinate the advertising deliverables, create and maintain the advertising deliverable schedule.
    2. Manages the processing of all advertising and department related vendor bills.
    3. Serve as the contact for all estimates and invoices from external agencies and obtains approvals on these documents.
    4. Codes estimates and invoices, ensuring they are accurately applied respective budgets and line items. Sends estimates to agency partners for billing. Sends invoices to accounting department for payment. Follows up on delinquent payments when needed.
    5. Timely, accurate and consistent data entry into RH (database) for Marketing project management.
    6. Assist with compiling information for presentations and reports, including the weekly Marketing Status Report and provide department administrative support research as directed by the head of Marketing.

    7. Punctual and dependable, able to adjust schedule to meet business demands.
    8. Ability to carry out responsibilities with little supervision.


    Education & Experience:


    Required knowledge and skills would typically be acquired through:


    1. Bachelor's degree or equivalent, preferably in Marketing or Communications.
    2. 1 -2 years professional business experience in a business environment with a solid understanding of marketing concepts and principles.
    3. Excellent spelling, grammar, and punctuation and email skills.
    4. Excellent PC knowledge including word processing, spreadsheets, graphics and database software.
    5. Proficient knowledge of personal computers and MS Office Suite.
    6. Excellent oral and written English communication skills.
