    The Senior Executive Assistant to the President & CEO provides administrative support to the Chief Executive Officer of Arch MI and the VP, Human Resources (Executives).  Frequently handles details of a highly confidential and sensitive nature.  He/she exercises judgment within generally defined practices and policies in selecting methods and techniques for obtaining solutions.

    Responsibilities

    1. Collects and prepares information for use in discussions/meetings of executive staff and outside individuals.
    2. Manages Executives’ daily calendars making appointments, travel arrangements and various other scheduling requirements.
    3. Creates annual corporate calendar, maintains, updates and distributes as required.
    4. Manages Executive Floor Conference Room scheduling.
    5. Prioritizes and filters messages, mail and meetings to achieve maximum efficiency to the extent requested by Executives. Forwards issues for handling as appropriate to other departments or executives. .
    6. Provides leadership and training to Executive Assistants and performs as their back-up when out of the office.
    7. Performs copy and distribution functions as needed.
    8. Maintains current Arch MI officer, director and executive assistant distribution list. Emails a weekly travel schedule for the CEO and his direct report team.
    9. Maintains expense management and has responsibility for Cost Center associated with Executives’ offices; charges and expense analysis. Codes invoices for payment. Review and approves expense reports for HR team. Creates and monitors annual Budget and re-forecast.
    10. Creates Expense Reports for reimbursement for Executives; reconciles travel expenses with company credit card.
    11. Reviews and approves time-off exceptions for all CEO direct-reports and serves as back-up approver for other Senior Officers as needed.
    12. Assists Human Resources team with scheduling for large meetings or events, such as on-site benefits meetings, learning programs, etc. Assistance can include scheduling, conference room coordination, refreshment/meal ordering.
    13. Coordinates office supplies inventory and replenishes as needed.

    Knowledge & Skills:

    1. Ability to resolves complex issues in creative and effective ways utilizing in-depth knowledge of company operations, policies and procedures.
    2. Ability to maintain confidence involving matters of a highly sensitive nature. Inspires trust and confidence in others.
    3. Ability to develop and maintain relationships with internal and external contacts.
    4. Advanced MS Office skills.
    5. Strong research, problem solving and decision making skills.
    6. Excellent attention to detail, organizational and time management skills.
    7. Demonstrated ability to determine a course of action based on comprehensive professional knowledge or technical guidelines.
    8. Excellent interpersonal and communication skills both written and verbal to deal effectively with internal and external contacts.

    Education & Experience:

     

    Required knowledge and skills would typically be acquired through vocational and technical training beyond high school plus 6 to 10 years of related experience specialized in working with senior level executives.
